As a team leader or a manager of a team, it is important to know the staff coverage available every day, for efficient planning and organization of day-to-day activities.

To save your business organization’s precious time, we’re offering free Employee Vacation Planner templates. These templates are flexible and customizable. You can modify them accordingly to suit your documentation or planning needs.



This Google Sheet template can be used every month to ensure that you are aware of the exact coverage and plan accordingly. You can handle up to 20 employees in this template.



The following are the inputs needed:
1. Start Date : The template builds out the calendar for 31 days beginning from the Start Date
2. Number of Employees needed daily: This is used to identify understaffed (low coverage) days.
3. Weekends: Select the weekend days of your company. These days will not be counted as working days.
4. Holidays: Enter up to 7 holidays. These days will not be counted as working days.
5. Vacation Dates of employees: Enter Employee Name and the planned vacation dates.


Dashboard gets updated automatically with the following:
● Number of Employees

● Number of Working Days
● Number of understaffed days


In addition, it also displays the number of employees at work for each month. Weekends and holidays will not display any output. Red bars indicate understaffed days (days where the number of employees working is less than the number of employees needed).
