FREE — Prepaid Expense Amortisation Schedule

Daily-rate prepaid expense amortisation engine for up to 10 contracts. Handles partial months, mid-contract terminations, refund logic, running GL balances, and

Description
PURPOSE

Straight-line amortisation on a monthly grid is wrong for any contract that does not start on the first of the month. It distorts your P&L by 15 to 30 per cent in the first and last periods. Auditor's notice. This engine uses the daily-rate method — cost per day multiplied by actual days in each period — which is how accounting systems calculate it and what auditors expect to see.

HOW IT WORKS

You fill one input row per contract. The VBA engine runs in under 10 seconds and generates a flat output table — one row per contract per month — ready for Power Query, pivot tables, or journal upload.Input columns: Contract ID, Vendor Name, Description, Prepaid Amount, Start Date, End Date, GL Code, GL Name, Status (Active or Terminated), Termination Date, Refund Mode (Automatic or Manual).Output columns: Period, Opening Balance, Amortisation, Closing Balance, GL Code, GL Name.

WHAT IT HANDLES THAT STANDARD TEMPLATES DO NOT-

Partial months: calculates exact days in each period, not equal monthly amounts- Contract terminations: stops amortising at termination date, calculates unamortised refund balance automatically- Refund mode: Automatic posts refund as negative amortisation in termination month; Manual isolates it in a separate column for your close workflow- GL mapping: every output row carries GL Code and GL Name — pivot directly to your journal entry without manual lookup- Power Query compatible: flat output structure loads directly into Power Query without reshaping
