GREENLIGHT — Prop Firm Pass System | Drawdown Tracker & Trading Journal

An Excel system that tracks prop firm evaluation rules — trailing drawdown, daily loss limits, profit targets — and tells you each day whether you are still ins

Description
WHAT THIS IS
Proprietary trading firms fund traders who pass an evaluation. Most evaluations are failed on a rule breach rather than on strategy — typically a miscalculated trailing drawdown threshold, or exceeding a daily loss limit that had already been partly consumed earlier in the session.

GREENLIGHT is a self-contained Excel workbook that models those rules and reports, each day, whether the account is still compliant and how much loss capacity remains.

THE DRAWDOWN ENGINE
The central calculation is the drawdown floor — the equity level at which the account is terminated. Firms apply it in three different ways, and the workbook models all three:
Static — the floor is fixed at starting balance less maximum drawdown.
Trailing — the floor follows the equity high-water mark upward without limit, so unrealised progress does not increase the safety margin.
Trailing-Lock — the floor follows the high-water mark until it reaches the starting balance, then freezes.

The Daily Ledger tab computes the applicable floor, the remaining buffer, and the unused portion of the daily loss limit for every day of the evaluation.

FIRM PRESETS
Nine presets are included (FTMO, Topstep, Apex, The5ers, FundedNext, E8 and others). Selecting one populates profit target, daily loss limit, maximum drawdown, drawdown type, minimum trading days and time limit. A CUSTOM option accepts user-defined parameters.

PERFORMANCE ANALYTICS
Win rate, profit factor, average win and loss, expectancy expressed in R-multiples, maximum peak-to-trough drawdown, and a projection of trading days remaining to target at the current daily average.
Two attribution tabs break performance down further: one prices each tagged execution error (revenge entry, moved stop, oversized position, premature exit) in currency terms; the other reports win rate and expectancy by setup and by trading session.

STRUCTURE
Eight tabs: Start Here, Dashboard, Account Setup, Trade Log, Daily Ledger, What It Costs You, Edge Finder, Presets. Capacity is 400 trades across 200 trading days. Ten input fields per trade, all dropdown-driven.

REQUIREMENTS
Microsoft Excel, Google Sheets, Apple Numbers or LibreOffice. No macros, no add-ins, no external data connections, no API credentials. All calculations are native spreadsheet formulas.

WHO IT IS FOR
Traders in a funded-account evaluation or on a funded account; anyone running a systematic trading journal who needs rule compliance tracked alongside performance.

DISCLAIMER
This is a record-keeping and risk-tracking tool. It contains no trading advice, no signals and no strategy, and makes no representation regarding evaluation outcomes or profitability. Firm rules change without notice; preset values should be verified against the current rulebook of the relevant firm. Trading carries risk of loss.

This Best Practice includes
1 Excel workbook (8 tabs, 400 trades, 200 days) + 2-page quick start PDF

Further information

To track prop firm evaluation rules — trailing drawdown, daily loss limits, profit targets — so a trader knows each day whether the account is still compliant and how much loss capacity remains.

• Traders inside a funded-account evaluation who need drawdown and daily loss limits tracked accurately
• Funded traders managing an active account against firm rules
• Anyone running a trading journal who wants rule compliance and performance analytics in one file
• Traders on firms with trailing or trailing-lock drawdown, where the floor moves as the balance grows
• Traders who want execution errors quantified in currency terms rather than described

• Anyone looking for a strategy, signals, or entry and exit rules — this contains none
• Automated or high-frequency traders logging hundreds of trades a day; entry is manual
• Traders wanting live broker or platform integration; there is no API or account connection
• Portfolio or long-term investment tracking; the model is built around evaluation rules and per-trade risk
• Anyone expecting the tool to influence evaluation outcomes; it records and reports, it does not trade
