Use this guide and tool to create effective, compliant, accurate job descriptions.

Note: This tool will help you gather all of the needed information to include in a formal job description. Sharing this tool with you does not constitute legal advice, and you are ultimately responsible for how you use this tool. The final output should be created and approved by a certified human resources professional who possesses strong labor law knowledge or by a licensed labor attorney. How to use this tool:

For management and whitecollar positions:
HR should send this job description questionnaire to the jobholder (for white-collar positions) or hiring manager (for blue-collar positions) to complete (Ideally as a GoogleDoc or via an HRIS). HR should also let the hiring manager review and modify or add to the employee's responses if needed.

For front-line blue-collar positions:
HR should send this job description questionnaire to the hiring manager to complete on the employee's behalf. This is just a recommendation due to some of the inherent challenges of having front-line blue-collar workers complete a questionnaire like this.

Once the form is completed:

Then HR should use the information to draft a formal job description (complete will all of the needed legalese- contact an HR pro for this) to send to the employees to sign and return for their personnel files (ideally via an HRIS or Docusign or similar that allows employees of all types to sign from their smart phones).
